Accurate contact information turns a business profile into a practical next step. A visitor should be able to understand how the business prefers to receive enquiries, choose a suitable channel, and reach the correct person without guessing.
This guide explains how to manage public contact details at Profile → Contact.
Contact details saved here are intended for public business use. Do not enter a private phone number, personal email address, private social account, or any channel you do not want customers and automated systems to discover.
1. Decide which contact methods to publish
Start with the channels the business can answer consistently. More contact options are not always better. A small set of monitored channels creates a clearer customer experience than a long list of inactive accounts.
For most businesses, a practical starting point is:
- one monitored business email address;
- one main business phone number;
- one or two relevant messaging options; and
- the official social profiles the business actively maintains.
Consider how customers normally contact the business. A contractor may prioritize calls and SMS, while a studio may prefer email and Instagram. A childcare provider, health service, or professional practice should be especially careful not to invite sensitive personal details through an unsuitable public channel.
2. Open the Contact editor
- Sign in to Openleet.
- Select the business you want to manage.
- Open Profile.
- Choose Contact.
- Enter or update the appropriate public channels.
- Select Save changes.
Basic email and phone fields are available after the business is claimed. Additional messaging and social channels are available at PRO and above.
3. Add a business email address
Use an address that is monitored and intended for customer enquiries, such as hello@yourbusiness.ca or appointments@yourbusiness.ca.
Before publishing it:
- confirm that the mailbox works;
- decide who is responsible for replying;
- enable appropriate spam and security controls;
- avoid an employee's private email address where possible; and
- make sure the address still belongs to the business when staff change.
The email field accepts up to 255 characters and must use a valid email format. Openleet may use a saved email to make an Email action available on public business surfaces.
4. Add the main phone number
Enter the public number customers should use for ordinary calls. The field accepts up to 32 characters.
Use a clear international format where practical, for example +1 604 555 0123(example only). This makes the number easier to interpret for visitors and software outside the local area.
Check that:
- the number reaches the correct business;
- voicemail identifies the business;
- published calling hours are accurate;
- the person answering is authorized to receive customer enquiries; and
- the number is not a private line unless its owner has approved public use.
Adding a phone number can make a Call action available. The contact record does not replace your business hours or location settings; maintain those in their dedicated profile sections.
5. Add SMS and WhatsApp numbers
PRO and ADVANCED profiles can add separate SMS and WhatsApp numbers. Each field accepts up to 32 characters.
Use the number connected to the service you name. Do not assume that the main voice number also receives text messages or WhatsApp messages.
For WhatsApp, include the country code. Openleet uses the digits to construct a WhatsApp contact link, so test the public action after saving. For SMS, test from a mobile device and confirm that messages reach the intended inbox.
Tell customers not to send payment-card details, passwords, government identification, medical details, or other sensitive information through ordinary text or messaging channels. If the business handles sensitive enquiries, direct customers to an appropriate secure process.
6. Add Telegram
The Telegram field accepts up to 100 characters and can contain a public username or link. Use the official public business account rather than a private personal account.
After saving, test the value from a signed-out browser or another device. Confirm that it opens the intended account and does not expose an unrelated personal profile.
7. Add Facebook and Instagram
Enter the complete public URL for the official business page or profile. If you omit https://, Openleet adds it when the contact information is saved.
Examples:

Use the public profile URL—not an administrator link, editing link, login URL, temporary share link, or post-specific URL. The Facebook address may also support a Message on Facebook action, so use the preview link in the editor and confirm that it reaches the right destination.
Social profiles change over time. Review these links after renaming an account, changing a username, merging pages, or transferring account ownership.
8. Add other social and business links
PRO and ADVANCED profiles can add up to eight additional links. The available labels are:
- TikTok;
- YouTube;
- LinkedIn;
- X;
- Yelp;
- Google Business Profile;
- Website; and
- Other.
Each selected platform can appear only once in this list. Use the dedicated Facebook and Instagram fields for those platforms.
Choose the link that best represents the business on each service. For example, link to the business's Google Business Profile rather than a general Google search, and link to the official LinkedIn company page rather than an employee profile.
Use Website for an official external site that is different from the current Openleet website. Use Other sparingly and only when the destination is clearly relevant and trustworthy.
9. Protect customers and the business
Public contact channels can attract spam, impersonation attempts, and requests for sensitive information. Apply a simple safety policy before publishing them.
- Use business-managed accounts where possible.
- Protect mailboxes and social accounts with strong authentication.
- Limit account access to authorized people.
- Never publish login, recovery, or payment information.
- Do not use a customer's contact details as the business's own details.
- Remove former employees' personal channels promptly.
- Explain secure alternatives when an enquiry may contain sensitive information.
Openleet presents the contact information supplied by the business; it does not verify that every external account is still controlled by the business. The owner remains responsible for accuracy, permissions, and account security.
10. Save and test every contact action
Select Save changes, then review the public result. Test links as a visitor rather than assuming that a correctly formatted value reaches the correct account.
Where contact information can appear
Saved contact details can appear on the Openleet business profile and eligible tenant websites, including contact pages and quick contact actions. Available values can also help Openleet create public structured business information and machine-readable resources such as llms.txt, llms-full.txt, and ai.json.
This allows visitors and software to identify the public channels supplied by the business. It does not guarantee that an external platform, search engine, or AI service will display or use the information.
Only publish channels that are meant to travel with the public business record. External search indexes, caches, screenshots, and other services may retain previously published details after they are changed in Openleet.
Keep contact details consistent
Use the same core phone number, business email, name, and official profile URLs wherever the business is represented. Differences are sometimes legitimate—for example, a location-specific phone number—but accidental inconsistencies can confuse customers.
When a contact detail changes, update:
- the Openleet Contact editor;
- the business's own website and tenant website;
- major directory and map listings;
- social profiles;
- printed signs, menus, and documents; and
- automated email, booking, or messaging responses.
Avoid creating several near-identical contact destinations unless the business has a clear process for routing and maintaining them.
Review the contact record regularly
Review all public contact channels at least every few months and whenever staff, account ownership, phone service, domain names, or social usernames change.
A useful contact record is current, intentional, and tested. Its purpose is not to display every possible platform; it is to give each customer a reliable way to take the next appropriate step.
